To provide a clear and concise procedure for team members to set up a number pool in GoHighLevel for tracking website visitors and calls effectively, ensuring accurate data collection and analysis.

Key Steps

  1. Access the Sub-Account

    • Log into GoHighLevel.

    • Navigate to the specific sub-account where tracking will be set up.

  2. Navigate to Settings

    • Click on the "Settings" tab.

    • Select "Phone Numbers."

  3. Manage Numbers

    • Under "Manage Numbers," choose the option to "Add a Number Pool."

  4. Select Visitor's Activity

    • Choose "Visitor's Activity" to create multiple tracking numbers.

    • Click "Next."

  5. Set Tracking Options

    • In the "Create Tracking Numbers" pop-up, select "Track All Visitors."

    • You can modify visitor monitoring options later if needed. Click "Next."

  6. Create a Pool

    • Set the pool size (recommended: 4).

    • Name the pool using the format: [Website Name] Number Pool (e.g., "Example Website Number Pool").

  7. Forwarding Numbers

    • Enter the forwarding number (client's number or another GHL number).

    • Confirm if the swapping number is the same as the forwarding number (typically, check "Yes").

  8. Acknowledge Purchase

    • Check the box to acknowledge the purchase of numbers.

  9. Choose Numbers

    • Name the example number pool (e.g., "Example Number Pool").

    • Click "Next."

  10. Forward Calls

    • Enter your own number for call forwarding.

  11. Select Number Features

    • Choose the area code option (local numbers are recommended).

    • Enable call recording and ensure the whisper message is not enabled unless specifically requested by the client.

    • If the client's system does not notify callers of recording, include a message (e.g., "This call is being recorded for quality purposes").

  12. Activate Numbers

    • Complete the setup by activating the numbers.

  13. Integrate Tracking Code

    • Integrate the provided tracking code into the header of the website.

Cautionary Notes

  • Always verify with the client whether their phone system notifies callers that the call is being recorded to comply with legal requirements.

  • Ensure that the correct forwarding number is entered to avoid misdirected calls.
